Inherited Folder Properties

You can specify document styles, entities, and field values at the folder level and find them available in every document in that folder, or in any subfolder of that folder.

This is an incredibly powerful tool for speeding document creation and maintaining consistency with client standards.

All of these settings are available from the gear icon in the upper-right of the folder header, next to the Share link.

Settings

Most document settings and style properties can be set at the folder level, including Style sheet, font, margins, etc.

This is an easy way to enforce firm-wide or client-specific choices for font and formatting. Documents inherit these settings but can also override them on a per-subfolder or per-document basis.

Folder-Specific Settings

Certain settings are only available on folders, and not on documents. These settings apply to all the documents in the folder (and its children, unless overridden by a folder-specific setting downstream).

Filename > Pattern

Specifies the pattern used for the name of downloaded files (Word documents or PDF).

The pattern is in the form of a template, with the template tokens enclosed in <angle brackets>.

Tokens:

  • <Title> - the document title

  • <ID> - the document ID from the Document Details

  • <Client ID> - the client identifier from the Document Details

  • <Matter ID> - the matter identifier from the Document Details

  • <Rev> - the revision identifier; e.g. 'Draft', 'Rev 1', 'Final', or 'Ready for Signature', etc.

  • <YYYY-MM-DD> - the date of the export operation with zero-padded values for month and day.

  • <MM-DD> - the date of the export operation with zero-padded values for month and day.

  • <D MON YYYY> - the date of the export operation; e.g. 4 Jul 2024

  • <D MON> - the date of the export operation; e.g. 4 Jul

  • <D MONTH> - the date of the export operation; e.g. 4 July

  • <MON D> - the date of the export operation; e.g. Jul 4

  • <MONTH D> - the date of the export operation; e.g. July 4

The default pattern is <Title> <Rev> <YYYY-MM-DD>, which results in a file name like: Smith Brothers LLC Operating Agreement Draft 2024-08-12.docx.

If a field is missing or has no value it will not be inserted, and any resulting double spaces will be collapsed to a single space.

Letterhead

Specified the letterhead to be used for any documents of type "Letter" in this folder (or its children).

Entities (Coming Soon)

You can specify People and Organizations at the folder level and find them available when filling in fields in documents. You may find it useful to specify a client organization and its key contacts on each client folder, making it easy to add the client data to any contract you create inside that folder.

Fields (Coming Soon)

You can specify default values for named fields, like Company, Employer, Law Firm, etc. When a new document is instantiated from a template these values will be used for any matching fields. This can dramatically speed creation of standard documents for a client.
